Position: Office Manager

Location: Cordial Psychiatry, Yonkers, NY

Overview: Cordial Psychiatry is seeking an experienced and dedicated Office Manager to oversee the daily operations of our outpatient psychiatry practice. The ideal candidate will have strong organizational, leadership, and communication skills, and a commitment to providing excellent patient care.

Responsibilities:

  • Office Operations: Manage the day-to-day operations of the outpatient psychiatry office, ensuring a smooth and efficient workflow.
  • Staff Supervision: Supervise and support administrative staff, including scheduling, training, and performance evaluations.
  • Patient Coordination: Oversee patient scheduling, registration, and check-in/check-out processes to ensure a positive patient experience.
  • Financial Management: Handle billing, insurance claims, and accounts receivable, ensuring accurate and timely processing of payments.
  • Compliance: Ensure the office complies with all relevant regulations and standards, including HIPAA and OSHA.
  • Inventory Management: Manage office supplies and equipment, ensuring adequate stock levels and proper maintenance.
  • Communication: Serve as a liaison between patients, staff, and healthcare providers to facilitate clear and effective communication.
  • Record Keeping: Maintain accurate and organized patient records, including electronic health records (EHR) and physical files.
  • Problem-Solving: Address and resolve any issues or conflicts that arise within the office, ensuring a professional and supportive environment.
  • Reporting: Prepare and present regular reports on office performance, financials, and other key metrics to senior management.

Qualifications:

  • Education: Bachelor’s degree in healthcare administration, business administration, or a related field preferred.
  • Experience: Minimum of 3 years of experience in medical office management, preferably in a psychiatry or behavioral health setting.
  • Skills: Proficiency in EHR systems, Microsoft Office Suite, and medical billing software.
  • Attributes: Excellent organizational, multitasking, and problem-solving skills. Strong interpersonal and communication abilities.
  • Compliance Knowledge: Familiarity with HIPAA, OSHA, and other healthcare regulations.
